Common questions about creating content: what to check first

Use this article to identify common questions when creating, importing, editing, validating, or publishing content.

”I can no longer save my capsule”

Check the capsule status at the top of the editor.

If an Online capsule contains an error, you cannot save it. The Save and quit edition and Save and continue edition buttons are disabled. Their tooltip suggests the following option:

You could also choose to unpublish the capsule to save it.

You have two options:

  • Fix every error listed in the Save & Publish capsule panel.
  • Select Unpublish capsule, fix the errors, then publish the capsule again.

For more information, see this article: Quality and lifecycle.

⚠️ If you did not make any changes to the capsule, a category may have been deleted. Deleting a category does not change the status of associated content. It simply removes the category from that content. As a result, an online capsule can remain online while displaying an error if it loses its last category. To fix the issue, assign the capsule to a category again from the Associated content tab of an existing category (Categories).

”The Publish capsule button is not there”

It only appears once the Save & Publish capsule panel lists no error at all.

Under the Warning, your capsule is incomplete banner, each line links to the setting or content that needs attention. Publication may be blocked if the capsule has:

  • no title;
  • no description;
  • too few chapters;
  • no category;
  • no attachment;
  • no chapters selected for validation;
  • an empty notion

⚠️ Title length does not block publication. A title that is too long generates a warning, but this warning does not appear in the publication report.

”I imported a capsule and cannot publish it”

An imported capsule has two publication requirements to complete:

  • assign it to at least one category;
  • attach it to the appropriate content distribution

Until you complete both actions, the capsule cannot be published.

⚠️ Media imported with a capsule are displayed within that capsule, but they are not added to your media library. You cannot reuse them in other content unless you add them to the library separately. For more information, see Importing a capsule, The media library.

”My changes were overwritten”

The capsule editor supports simultaneous editing. When one author opens a notion, that notion is locked for other authors.

⚠️ However, locks apply to individual notions, while saving applies to the entire capsule. The platform does not check whether another author has saved changes in the meantime. If several authors save in succession, the most recent save can overwrite earlier changes without warning.

To reduce this risk:

  • divide work by notion, rather than by capsule;
  • agree on who will save the capsule;
  • close a notion when you have finished editing it so that another author can access it

If you are editing alone, check the sync counter below the History button. It indicates changes that have not yet reached the server.

For more information, see Reusing content and working with several authors.

”The history does not give me back the version I want”

⚠️ A dated entry identifies a save, not the state of the capsule after that save.

Selecting Restore this version restores the capsule as it was immediately before the selected save. To restore the content from a specific date, select the entry immediately above that date.

The most recent save cannot be restored. It is labelled Currently deployed version and cannot be selected.

Restoring a version does not publish the capsule. The same applies when restoring a deleted capsule: it returns as a draft with the status Awaiting publication and remains invisible to learners until you select Publish capsule.

For more information, see (Version history and restoring).

”The tips I unpublished is marked as Refused”

⚠️ A tips can move to the Refused status without being reviewed by a moderator.

When you unpublish a tip, it appears under Refused tips. A scheduled unpublication has the same result. This is the only offline status available for a previously published tip.

Capsules work differently: no back-office action assigns them this status.

For more information, see (News tips).

”Adding a document to the AI stops at 5%”

If the progress bar remains at 5% under Adding content, no error appears and the document does not appear under Added resources, AI features may be disabled for the account.

An administrator must enable Enable AI features in the Content section of the configuration. Once the setting is enabled, add the document again. See (Configuring the AI)

ℹ️ Good to know. This setting controls all AI features on the platform, including AI-powered learner search and capsule generation. Turning it on or off affects more than document uploads.

”AI does not use our terminology or tone of voice”

Add your product names, acronyms, and business terms to the glossary: without it the AI rewords these terms, and translates them on a multilingual account.

The Tone of voice field and the AI behaviour section of the AI configuration handle the tone, and neither takes part in the structure analysis of a document: the plan you correct by hand is what plays that role.

On missing content, compare the plan proposed by the AI with the content created in the editor.

Content can be missing for several reasons, none of which generates a warning:

  • a page the AI cannot read is returned empty;
  • a notion that fails to transfer is omitted without a message;
  • the plan generated from a document is limited to 15 notions and 8 cards per notion.

These limits apply only to the plan proposed by the AI. You can still select Add notion and Add card afterwards to complete the capsule.

For more information, see (Generating a capsule from a PDF).

”I published and the learner sees nothing”

First, check the capsule status :

A capsule with the status In validation means the capsule is waiting for a validator. No notification is sent to indicate that validation is pending.

If the capsule is Online, remember that publishing does not distribute the content. You must still configure its distribution so that the right learners can access it.
