For an overview of what each agent does, see What are our learning agents?.

The agent does not appear in the app

All access settings are configured under Configuration > Content > AI Agents.

Check the following:

  • AI Agents enabled is turned on;
  • the agent is selected under Select available AI agents;
  • the learner’s group is not excluded.

Access is controlled at two cumulative levels:

  1. Who can access AI Agents?
  2. Who can access this agent?

The second setting only includes groups already allowed by the first.

⚠️ If a department is selected at the top of the Configuration page, your changes only apply to that department. Switch back to All departments to configure the entire account.

The AI Agents page is not available

AI Agents are an account-level feature that can only be enabled by Beedeez.

If the feature is not enabled, the configuration section does not appear. In the capsule editor, the Simulation content type is also locked and displays the message Contact the sales team to enable the AI Agent.

The AI Agents tab is available, but a sub-tab is missing

Simulations and Q&A environments are managed from Engagement > AI Agents.

Each sub-tab depends on the corresponding agent being enabled:

  • Simulations appears only if Simulation Agent is selected;
  • Q&A Environments appears only if Q&A Agent is selected.

If your profile does not include the Can access the AI Agents tab permission, none of these options are visible.

The agent does not know content that is included in my capsule

The agent works from the textual content available in your capsules. This includes:

  • titles;
  • descriptions;
  • content pages;
  • the front and back of Flash cards;
  • quiz questions and answers;
  • video subtitles;
  • text contained in attached PDFs.

Other content types are not directly accessible to the agent. SCORM modules, H5P content, web content, presentations, 3D models and images are only known through their title.

If information needs to be available to the agent, make sure it also exists as text.

⚠️ Older capsules may not automatically benefit from improvements introduced after they were created. Open the capsule, edit a piece of text and save it again to refresh the entire capsule.

Content I created does not appear for learners

Simulations and Q&A environments are created with the Draft status and are available to learners only when they are Online.

Also check the group settings:

  • if groups are selected, the simulation or environment is restricted to those groups;
  • if no group is selected, it is available to everyone.

The Q&A Agent answers without using the environment

This is expected when several environments are Online for the same learner.

The agent initially answers without selecting an environment and then displays the available environments as buttons. The conversation only becomes restricted to an environment once the learner selects one.

If only one environment is Online, it is used from the first question.

💡 To avoid asking learners to choose an environment, keep only one environment Online for each target audience.

The agent ignores content that is included in the environment

When Restrict accessible content is enabled, the agent can only use content explicitly selected under Accessible content.

Any content that is not selected remains unavailable to the agent, without displaying an error message.

A learning path cannot be selected directly. The available content types are capsules, tips and documents. To cover a learning path, select its capsules individually.

If more than 500 capsules are selected, the full selection is no longer taken into account.

Files added through Add additional documents form a separate source from the Accessible content selection. Both sources are available to the agent, so check both sections if content appears to be missing.

Even when content is correctly selected, it may not be used for every answer. For each question, the agent selects up to 10 tips and 10 documents based on how closely they match the learner’s question.

The remaining content stays available for future questions.

💡 If a specific topic is consistently overlooked, consider splitting the environment into more focused topics so that fewer sources compete for selection.

⚠️ If you disable Restrict accessible content, the current selection is cleared. If you enable the setting again later, you start with an empty selection.

The agent provides information that is not in my content

Disable Allow AI Agents to add information when it cannot be found in your data.

If you want to guide the agent rather than completely prevent additional information, use the Q&A environment settings:

  • Instructions - Do not;
  • Q&A - Restricted topics;
  • Q&A - Response rules;
  • Q&A - Topic redirects.

The tutor never helps the learner during a simulation

Check the Tutor coaching style setting. It determines how often the tutor intervenes during the simulation.

Four levels are available:

  • Immersive: the tutor does not interrupt during the simulation. A beginner therefore receives no assistance;
  • Light: the tutor provides occasional guidance with very few interruptions;
  • Balanced: the tutor intervenes regularly. This is the default setting;
  • Supportive: the tutor is intentionally more present and intervenes frequently.

The selected level does not apply to inappropriate content. In that situation, the tutor always intervenes regardless of the coaching style.

Voice mode is not available

The setting may be missing from the back office. Voice mode appears only if the audio feature has been enabled on the account by Beedeez.

Once enabled, the setting is called Enable voice mode for simulations.

💡 Coach voice is not required. If no voice is selected, the platform uses a default voice.

On mobile, voice mode is available in the app. If it does not appear, ask the learner to update the Beedeez app from the App Store or Google Play, then reopen the simulation.

Microphone access is required for voice mode to appear. Until microphone permission has been granted, the button is not displayed and the simulation runs in text mode, even if Open this simulation in audio mode is enabled.

Grant microphone access, then reopen the simulation.

There is no microphone selector: the app uses the device’s default input.

If microphone access is denied, the message Microphone access is required for voice mode is displayed.

If the connection is lost, the simulation displays The simulation is paused with a Resume button.
