An On the job card carries a list of actions to perform away from the screen, ticked off by the learner. An action can be made mandatory, and its completion can require validation by a person the learner designates.
The card is offered in every capsule, with no account option to enable. The On the job menu entry in the app can be hidden, reordered and restricted like the others, but its label cannot be changed.
Creating the actions
In a notion, add a card and choose On the job. Click Add an action, then fill in Action name: this is what the learner reads, in 120 characters at most.
Reorder the actions by dragging the handle. Each action’s menu also offers Move to the top of the list and Move to the bottom of the list, which send it straight to one end rather than moving it one position at a time, along with Delete the action.
⚠️ An action with no name disables Add an action, and not only the one you created last. A card with no action at all prevents publication: the quality report records it as an error, just as it records an action left unnamed, and on a capsule that is already online saving is blocked the same way.
Mandatory or optional
An action is created optional. The Mandatory switch changes that, action by action.
⚠️ Until the mandatory actions are ticked, the capsule is not finished. The learner can read every card and pass every quiz, the capsule stays incomplete. Nothing blocks them meanwhile: a message, Continue the capsule?, warns that the capsule will not count as finished and that they can come back later.
Validation by a designated person
The switch The action must be validated by a person designated by the learner brings in a third party: the learner is no longer the only one attesting that the gesture happened.
⚠️ Turning validation on makes the action mandatory, and the Mandatory switch becomes unavailable. Turning validation back off makes it available again, but the action stays mandatory until you set it back to optional yourself.
On the learner’s side, designation happens in two steps: a role under Filter by role, then the person, searched by name. The three roles do not look in the same place: Pairs offers members of their own groups who have access to that capsule, while Team leader and coach offer the managers and coaches of their own groups with no check on capsule access.
⚠️ The search only fires on the third character. At two characters the app already displays No users found without having searched anything.
The validator receives a notification and an email, and finds the request in the learner app, under Actions in progress, with the capsule it came from.
What validation does not do
⚠️ The back office has no validation screen. The validator works from the learner app, exactly like a coach, and a team leader who never opens it leaves their people stuck on an incomplete capsule.
⚠️ There is no rejection, only a send-back. The To review button unticks the action and puts it back in the learner’s list, where they can tick it again. No notification tells the learner about the decision, either way.
⚠️ This is not a group’s Validator role, which receives session registrations, track invitations and training requests. Here no role is assigned in advance: the learner designates someone, action by action.
Attaching a skill
An action can carry one skill, and only one, through Assign 1 skill. The learner then sees its name and description on the action, and can group their actions by skill.
⚠️ Ticking an action credits no skill points. Points come from the skills attached to the capsule, and are credited when the capsule reaches 100 % progress. See Attaching skills to content.
Learner side: the On the job page
The app gathers on one On the job page the actions of every capsule whose card the learner has opened. A capsule they can access but whose card they never reached does not appear there.
Sort by offers Due date, Skills and Capsules, actions with no skill sitting under Other actions; Filter by offers Required, Validation and Completed. It is the learner who sets a Due date: the format offers none on the author’s side. Ticking an action works offline and syncs when the network returns, see Offline mode.
⚠️ Completed hides rather than adds: with the filter off, completed actions are hidden; with it on, they are the only ones shown.
⚠️ An action ticked from the On the job page cannot be unticked. Inside the capsule the box stays usable until the capsule reaches 100 % progress, then it freezes.
What it does not measure
⚠️ No back-office screen and no export report the actions ticked. Neither the dashboards nor the exports say which action was ticked, by whom, or when. The only usable trace is capsule completion, which, if the actions are mandatory, cannot be reached without them: make the actions mandatory and track the capsule. See Content analytics.
