Exporting and receiving your data

This section covers activity files moving between Beedeez and your other systems: an HRIS, a talent management platform, a training-management tool. Two questions decide which page you open: which way the data travels, and whether you need the file once or on a schedule.

Which way the data travels

Outbound. Activity completed in Beedeez leaves for another system, either as a file you download yourself or as a file dropped on your SFTP.

Inbound. Activity completed elsewhere is brought into Beedeez, so that it counts in the capsule and learner statistics.

Once or on a schedule

A file you need once is downloaded by hand, from the table you are looking at. A file expected every week is scheduled as a job, and nobody has to remember it.

The pages

Where this happens in the platform

On-demand exports start from the table you want to export: the Statistics screens, and also Users/Groups > Users list and Users/Groups > Groups list.

The scheduled delivery and the import of external activity are both handled in Configuration > Integrations > Jobs & Reporting. The Scheduled jobs block plans the delivery, through the Configure button on the SFTP reporting of user activity line, which opens Schedule your task. The Synchronization of users external learning activities block carries the Import xls button for the inbound direction.

⚠️ Both blocks are only available from the main account. They disappear as soon as you switch to a department.

⚠️ Those screens hold the calendar, not the contents of the file. The technical format, the columns, the destination and the encryption are not editable there: see Configured with your support team.

ℹ️ A block or a line only appears if the matching option is enabled on your account. If you cannot see the one you are looking for, check that the option is open before looking for a configuration mistake. Each of the two blocks depends on its own option.
