Ready-made reporting formats

⚠️ Prerequisite: the SFTP reporting of user activity option must be enabled on your account. Without it, the SFTP reporting of user activity line does not appear in the Scheduled jobs block.

A reporting format fixes the shape of the delivered file: its columns, its separator, its name, and which rows it keeps. Thirteen formats ship. Twelve of them were written for one specific target platform, and the thirteenth carries no columns of its own. Where the file lands is covered separately, in Automating activity export to your SFTP.

Where the format is chosen

Nowhere in the administration. The back office lets you schedule the job, through the Configure button on the SFTP reporting of user activity line. It offers no screen, no dropdown, no checkbox to name the format: that value is written into your account configuration by your Beedeez contact.

So your request is one name taken from the table below. See Configured with your support team.

The six TalentSoft lines are six separate files, not one format with five options: each carries its own columns and its own file name. A platform that expects both the track reference data and the registrations therefore needs two formats.

Several formats can be configured on the same account. Each run of the scheduled job then produces one file per configured format, so asking for a second format does not mean scheduling a second job.

ℹ️ File type is a separate setting. Each format proposes a default, the one in the last column, and your Beedeez contact can replace it. Three types are actually produced: XLSX, CSV, and CSV without header. The separator also belongs to the format: Pléiade and eForm use a vertical bar, the other CSV formats use a semicolon.

What is fixed and what is tuned per account

Each format ships with a column list, a separator, a file name and a way of grouping rows. Those defaults are what makes a format usable without any further request.

Your Beedeez contact can adjust, on your account:

  • the column list, replaced in full by a list written for you;
  • the file type and the prefix of the file name;
  • the rows kept, through a content filter and a status filter;
  • the date window the export looks back over;
  • the values written for the registered, successful and failed statuses.

The columns and the filters are therefore not immovable. But every one of these adjustments is a configuration change on the Beedeez side, never a setting you reach from the back office.

What the formats rely on

Six formats drop rows that lack a reference identifier. Cornerstone, TalentSoft, Syfadis, Syfadis, sessions, Pléiade and eForm exclude, by default, the rows whose learner external identifier or capsule external identifier is empty, along with capsules that have been deleted. Those rows are absent from the file, without an error. This default applies as long as no content filter has been written for your account.

The generic format produces nothing on its own. It ships without a single column. Taken as is, it delivers a file of empty rows: its column list has to be written in your configuration.

Check the format against the target platform

⚠️ Your platform’s name on a format is not a guarantee that the import works. Each one was written for a given version, at a given customer. Ask the team that runs the target platform for an import specification and a sample file, and compare before the first delivery.

The same check applies later: a version upgrade on the receiving side changes what it expects, while the Beedeez format stays as it is. When the two no longer match, the column list can be rewritten for your account rather than the format being abandoned.
