Academies, analytics and engagement
⚠️ Prerequisites: the account must use the department hierarchy and contain at least one academy. Without the hierarchy option, the department selector described here appears in no filter at all.
An academy filters what a learner sees while they are inside it. In the back office, the figures and the engagement settings stay those of a single account, and the filter you apply decides the scope you read. For what an academy separates and what it leaves shared, see Understanding academies.
Filtering analytics on one academy
No filter is named “academy”. An academy appears in the ordinary department list, under its department name.
- Open an analytics tab, then open the filter panel.
- Go to the Other filters section.
- Select the academy in Associated departments.
The first entry in the list is Main account. The selector accepts one department at a time.
This selector is available across the analytics tabs, including Global, Learners / Groups, Content, Rewards, Skills and AI Agents.
⚠️ Selecting a department also covers its sub-departments. An academy that contains other departments includes them all in the figures.
What the department filter measures
A department is not recorded on the analytics themselves: it acts through its groups. Filtering on an academy therefore means reading the figures of the learners gathered in that academy’s groups.
To restrict the content counted as well, turn on Only content from my department or the selected department. Without it, the population changes but the content counted stays that of the whole account.
This option appears once a department is selected in the filter, and also when you are already working within a department. Selecting a department never turns it on for you: set it yourself when you want the content restricted too. Clearing the department back to Main account turns it off.
With no department selected, everything counts
When no department is selected, the figures cover everything your rights let you see, academies included. That is consistent with what an academy is, a filtered view on the learner side rather than a separate account, but it surprises anyone expecting a “clean” main account.
What this filter does not do
- There is no “academies only” or “everything but academies” mode. The selector takes one department at a time. To isolate the rest, read academy by academy.
- Rates do not add up. A learner can belong to groups in two academies, in which case they count in both, and the sum of two rates is not the network’s rate.
- The advanced reporting export offers no department filter. Its scope is set by learner groups, period and export options. The department only comes out in table exports: User groups, Capsules and Tracks carry a Department column.
Select the academy before the groups
Selecting a department clears the learner groups already selected in the filter. Choose the academy first and the groups second. In the other order, your segmentation disappears without any message.
Engagement
An academy carries its own configuration, but as an overlay: whatever it does not define falls back to the main account. Logo, main colour, home banner, social learning, sessions, team management and email templates are all set department by department.
Rankings. Activate rankings is one of those settings: an academy can hide the ranking that the main account displays. When a ranking is displayed, it never compares the learner to the members of their academy alone. The three modes available are Global ranking, Ranking with users sharing the same groups and Ranking with users sharing the same primary groups.
The forum. A forum belongs to the capsule, not to the academy. A capsule pinned into two academies has a single forum, and learners from both answer each other there. In the back office, the forum list offers Filter by department to follow the content of one academy only.
Notifications. The notification form carries an Associated departments choice: it decides which email templates are used. Targeting itself stays group-based.
⚠️ A notification does not bring the learner back into the right academy. Opening one that points at an academy’s content while another academy is selected switches nothing, and nothing opens. Name the academy in the message, or send it from that academy.
