Generating Teams or Google Meet meetings

A remote timeslot needs a video link before the session can be published. Rather than creating the meeting in Teams or Google Meet and pasting the link by hand, you can connect one of these providers to Beedeez. The link is then generated for you, either when the session is published or from a button in the session panel.

What this integration is, and what it is not

This integration creates the meeting link and stores it on the session.

It is distinct from calendar synchronisation, which sends the invitation to participants. The two are configured separately. If only this one is enabled, the link exists on the session but no calendar invitation is sent.

Connecting Microsoft Teams or Google Meet

⚠️ For Microsoft Teams, a Microsoft 365 administrator must approve the connection. Plan this with your IT team before starting.

  1. In the back office, open the Integrations configuration page.
  2. Enable the Video Meetings integration, then click Configure.
  3. In the Meeting providers section, click Connect Microsoft account or Connect Google account. For Google Meet, connect a Google Workspace account.
  4. Sign in on the Microsoft or Google page that opens and grant the requested permissions.

Once the connection succeeds, the provider shows the date under Connected on and the account that granted the authorisation under Authorized by. Meetings are then created with that account.

⚠️ Only one provider can be connected at a time. The section states Only one provider can be active at a time. To switch, disconnect the current provider first. Until you click Disconnect on the connected provider, the other one shows Disconnect the current provider first to switch.

⚠️ Turning the Video Meetings integration off disconnects both providers. You have to authorise the account again to generate links afterwards.

When a session is published, Beedeez creates a meeting with the connected provider and fills in the video link of the session. Nothing else is required from the person who publishes.

You can also generate the link yourself while editing a timeslot. On a remote timeslot, the field External virtual classroom (teams, zoom, hangout etc..) is shown with a Generate link button next to it. Click it to create the meeting and fill the field. When the field already contains a link, the button becomes Regenerate link and creates a new meeting, replacing the previous link.

The button appears only when the Video Meetings integration is enabled and a provider is connected. Without it, the field stays a free text field: paste a link from Teams, Zoom, Google Meet or any other tool.

Limits

⚠️ A remote timeslot without a video link cannot be published. The timeslot displays Provide a video link for this timeslot and publication stays blocked until the field is filled, by generation or by hand.

⚠️ Each timeslot carries its own link. A link filled in on one timeslot is not copied to the others.

⚠️ The link is created when the session is published. Sessions already published before you connected a provider do not receive one afterwards. For those sessions, generate the link from the timeslot or paste it manually.

Checking that the connection works

Publish a remote session, then reopen its timeslot and check that the External virtual classroom (teams, zoom, hangout etc..) field contains a link. If it stays empty, open the Video Meetings configuration again and confirm that a provider is still shown as connected.
